Practical principles for effective AI governance at WP

AI is moving from experimentation into everyday work. It now influences how decisions are shaped, priorities are set and outcomes are delivered. As this shift accelerates, the challenge facing organisations is no longer access to AI capability, but confidence in how it is used.

Effective AI governance is not about control for its own sake. It is about ensuring that value can be realised without compromising trust, accountability or judgement. When governance is clear, AI strengthens decision making and delivery. When it is not, even capable tools can create risk, confusion and hesitation.

WP’s experience working with AI in real delivery environments shows that good governance is practical, not theoretical. It focuses on clear accountability, proportionate oversight and keeping humans firmly responsible for outcomes. The principles below reflect what is required to govern AI once it is embedded in everyday work.

Start with human accountability

Effective governance begins by making it clear who is responsible for outcomes when AI is used. For every AI‑enabled activity, there must be a named human owner who approves how the tool is used and remains accountable for results.

This sounds obvious, but it is often missed. When responsibility is vague, problems are blamed on the tool. When it is clear, people stay engaged and apply judgement. A simple test helps. If something goes wrong, can you point to who is accountable and what they can do about it? If not, governance is not yet in place.

Be explicit about where AI is used

People should know when AI is involved and what role it plays.
Transparency does not require technical detail. It means being clear whether AI is drafting text, ranking options, making recommendations or triggering actions.

If AI summarises a document, users should know that the summary may miss nuance and must be checked. If AI helps prioritise work, users should understand the factors it considers and where human judgement still applies. Clarity builds trust and reduces the risk of over‑reliance.

Match oversight to risk

Not all AI use carries the same level of risk. Governance should be proportionate. Low‑risk uses, such as drafting internal notes, may only need light review. Higher‑risk uses, such as decisions affecting clients or the public, require stronger human checks.

A practical way to do this is to decide upfront how humans stay involved. In some cases, a human reviews every output before it is used. In others, AI operates with monitoring and the ability to intervene if something looks wrong. The key is to make this choice deliberately rather than by default.

Design for challenge and override

Good governance assumes AI will sometimes be wrong.

Systems and processes must make it easy for people to question, correct or override AI outputs. This includes clear escalation paths and the ability to stop or pause AI use if needed.

For example, if an AI‑generated recommendation does not look right, users should be able to flag it, understand why it was produced and choose a different course of action. Governance that discourages challenge creates risk. Governance that supports it strengthens outcomes.

Questions about data, risk, oversight and responsibility are addressed early and revisited as solutions evolve. This avoids late surprises and makes governance feel practical rather than bureaucratic.

Treat third‑party AI with the same discipline

Using established platforms does not remove the need for governance. Even when tools come with built‑in safeguards, WP remains responsible for how they are configured and used. This includes being clear with clients about where third‑party AI is involved, what data is shared and what limits exist. It also means avoiding full automation unless the risk is well understood and explicitly accepted. Convenience is not a governance strategy.

Keep governance alive

AI systems change over time. Data shifts, usage grows and expectations evolve. Effective governance includes ongoing monitoring, regular review and a willingness to adjust controls.

Feedback from users, incidents and near misses should inform improvements. Governance is not a one‑off approval. It is a continuous practice that matures as experience grows.

Map where AI is already used in your work, including informal or experimental use.
Assign clear human ownership for each AI use case.
Decide the level of human oversight based on potential impact, not convenience.
Make it easy for people to question and override AI outputs.
Review AI use regularly and update controls as risks or expectations change.

AI governance does not slow delivery when done well. It creates confidence for leaders, teams and clients to use AI where it adds value and to step in where judgement is required. By keeping humans accountable, being clear about how AI is used and matching oversight to risk, organisations can realise the benefits of AI without compromising trust.
